NYSSIS Hold Queue Email and FAQs

There is a short overview and "how to" document for resolving the hold queue in NYSSIS available after logging into the NYSED Business Portal and clicking on the NYSSIS application link. The document link will be on the bottom of all the NYSSIS pages in the orange footer called Queue Guide.

 

Why did I get an email notification about having records in the NYSSIS hold queue?  

You are one of the points of contact for your BEDS code location and the NYSSIS application needs a human decision to process a record. You should login at http://portal.nysed.gov/ to access the New York State Student Identification System (NYSSIS) to view the record in question from your BEDS code location. Guides are in the footer of every page. You can contact your BEDS code's contracted data center for guidance also, data center contact information is posted at http://www.p12.nysed.gov/irs/sirs/ric-big5.html .

 

What is the NYSSIS hold queue?

The NYSSIS hold queue is where current school year student records submitted to the New York State Education Department end up when it could not be decided if the current school year student record is a match to a previously submitted student record or if the current school year student record being submitted for the first time which means it is new to the NYSSIS system. It is preferred that the district or school that the current school year student record is from tell the NYSSIS system what the decision should be based on the possible match candidate presented within the NYSSIS system.

 

Why do I have to resolve the NYSSIS hold queue?

Districts or schools are needed to help NYSSIS link a student academic history across school years for statewide reporting.

 

What should I do if I do not see the match candidate record that I expected?

Contact your Level 1 data warehouse administrator that your school/district submits data through to report the issue. The administrator will be able to search for the desired record to match to with the information that you can provide. The administrator can escalate the issue to the NYSSIS support team as needed. When should I click on the New Student button? 

Clicking on the New Student button implies that this is the first time that NYSSIS received a record for the student. A new state level ID will be attached to the student record. The new student button can be clicked on if all of the match candidates presented are not matches based on any additional information that you may have about the student.

If you believe there should be a previous school year record to match to, leave the record in your hold queue and report it to Level 1 data warehouse administrator that your school/district submits data through to report the issue. Why did I get an email notification about having records in the NYSSIS hold queue and I do not see any records after I have logged in?  

All points of contact for your school/district location and your Level 1 data warehouse receive the same email notification for your location. Someone else may have logged in before you did and resolved the record(s).
